Every client gets a workspace of their own, and a login to match.
A client login gives each client site a workspace of its own — its own members, its own record — rather than a folder inside your account, and the setup document a client signs off carries your agency's name and logo in place of Koalr's. Prospects you have not signed get a workspace of the same kind, unbilled, with one run to build the pitch from, so you walk in with the client's real numbers instead of a promise.

The mechanism
A workspace, not a filtered view.
The difference matters the first time a client asks for their own access, and it is architectural rather than cosmetic.
Separation by structure
Each client is a workspace in its own right with its own members, linked to yours rather than contained by it. What a client can reach is decided by which workspace they belong to, not by a permission filter someone has to get right. There is no view from inside one client's workspace that reaches another's data, because there is no path to it.
Two levels inside a client
An admin sees their whole workspace. A member can be scoped to particular sites, which is what a multi-location client needs when a regional manager should see their own town and not the other eleven. You keep the view across all of it.
Your name on what they sign off
The setup summary a client approves before tracking starts — their prompts, their competitors, the engines they are on — carries your agency's logo, or your name where there is no logo, and never Koalr's. The live dashboard a client logs into is Koalr's own, under their login. What removes the monthly export from your team's calendar is not the logo: it is that a client with a login reads live numbers whenever they choose to.
Before they sign
Pitch with their numbers, not with a deck.
A pitch workspace is a real Koalr workspace for a prospect you have not signed. Real sites, real prompts, real answers from the engines — and not billed. The specifics are what make it usable rather than a demo mode:
It includes one run, which you start by hand
Building a pitch means pressing Run, and a pitch workspace includes one analysis run for exactly that. It never runs on a schedule, and it does not run again until the prospect converts to a client — a shelf of prospects should not be spending money every night while nobody looks at it.
Nothing is billed and nothing is drawn
A prospect does not bill, and does not take prompts from the allowance your paying clients share. Winning the client should not cost you anything before they are one.
Converting keeps the history
If they sign, the workspace becomes a client workspace and everything it has already collected comes with it. The first monthly report is not the first month of data — you have been running them since the pitch.
The allowance
Where the prompts come from.
Two models, on purpose, because one brand with several sites and one agency with several clients are not the same shape.
On the standard plans: per site, never pooled
Tracked prompts are counted against the site they belong to — 25 per site on Starter, 40 per site on Growth, 50 per site on Business — and are never drawn from one account-wide allowance. Adding a second brand does not take prompts away from the first, and a busy site cannot quietly starve a quiet one. The same is true of tracked competitors: 5, 15 and 20, each counted per site.
On the agency card: one allowance across the book
An agency book is the deliberate exception. Every live client site adds 50 prompts to a single allowance shared across all of your clients, and any of them can draw on it. A client with a complicated category can run 80 questions while a straightforward one runs 30, without you buying a bigger plan for the first or wasting half of one on the second.
The allowance is granted by the same rule that bills: a site contributes its 50 once it has run for the first time — the one exception being that a site you are still setting up can draw on its own 50 straight away — so the allowance always tracks what you are paying for. Prospects sit outside it in both directions. The clients screen shows what the whole book has used and how much is spare, so a client that has grown into more questions than you expected is visible rather than a surprise.
Reading it correctly
What white-label does not mean.
It is not a rebuild of Koalr under your domain
It is your name and logo on the document a client signs off, and a login of their own to the live dashboard — not the whole product served from your own domain as your own software. The dashboard a client logs into is Koalr's.
A client workspace is not a seat
The unit is the client site, not the person. Adding another colleague at the client to their workspace does not add to what you pay; adding another site does.
The shared allowance is not divided up for you
It is one allowance the whole book draws from, and the screen shows who has spent what. What it does not do is ration a quota to each client automatically — where the prompts go is your decision, made by writing them.
A pitch workspace is not a sandbox
It is the real product against the prospect's real domain, which is why converting it keeps everything. The one thing it deliberately will not do is keep running: it includes a single run, started by hand, and never runs on a schedule.
Which plans include it
Client logins, pitch workspaces and your branding on client sign-off documents are on the Agency and Enterprise plans — the one part of Koalr that is genuinely gated, because everything else on the features hub is on every plan including Starter. The agency card is £79 per client site per month, all-in, with a minimum of three client sites, and it is application-gated. How the card works is on the agencies page.

In Koalr today, white-label means the setup document a client signs off — their prompts, their competitors, the engines they are on — carries your agency's name and logo in place of Koalr's. Each client site also gets its own login, so a client signs in and finds their own workspace — their prompts, their competitors, their sources — rather than a filtered view of your account. Client logins and agency-branded sign-off documents are on the Agency and Enterprise plans.
